✅ The short answer:
Go to Admin --> Data Management --> Select "Set Permissions" On "Staff" card.
It's important to note that staff can't see any student data until you do this!
How it works
⚠️ Setting permissions is essential for every member of staff!
Before permissions have been set, staff are can't access any data and are stuck in "Training Mode".
➕ For each member of staff, set a filter to select which data they can see
They will only see the students that fall within their filter. If a member of staff has a role which requires access to all students (or your school has chosen not to strictly limit data visibility), just set them to "see everything" using the switch.
🔒 You only need to add filters for things you want to actually limit!
If you wanted a member of staff to only see Year 6, you don't need to add a filter for every house as well!
❌ Not needed! We sometimes see users doing this- it will work fine, but it isn't necessary and can be annoying to manage if houses are changed.
✅ Perfect!
📅 The permissions will persist year on year
Obviously they will need to be updated if new staff join or roles change, however, once they are set for existing staff, they will not need be updated unless something changes.
❓ What if I set multiple filters?
So this gets a bit complicated. If you select multiple items within a single filter (e.g. Selecting Year Groups 6, 7 and 8). Then the staff member will have access to all of those year groups.
However, if you set multiple filters (e.g. selecting Year 6 and House GreenFields), then the staff member will only see the students who fall within both of those filters.
Take a look at these examples if you still aren't sure
💾 Remember to save at the end!
Now, you can set permissions for all filter types! We heard your requests for more control over who can see what data. That's why we've made it possible to set permissions for any data type you import. |
Here are some examples
👨🏿💼 Mr Jackson: Head of Year
Mr Jackson will now only see the students in Year 6
👩🏻💼 Mrs Kim: Head of House
Mrs Kim will now only see the students in Greenfield House.
👩💼 Mrs O'Leary: Tutor
STEER doesn't let you set permissions for tutor groups (this is because they often change, creating lots of workload to manage the permissions). However, if you wanted to be very precise you could do something like this:
By setting two separate filters, you can limit staff to only seeing students who fall into BOTH those categories. So in this case, Miss O'Leary will only see Year 6s who are in Greenfield House. Whether this is suitable will obviously depend on your school structure.
